  • Candidate profiles and videos may be visible to registered employers in accordance with ReelWork's platform settings.
  • Resumes and compliance documents are not visible to all employers. Access is limited to employers connected to the candidate through an application, accepted shift, accepted onboarding request or another clear authorisation.

  • Some platform features may use third party artificial intelligence services for functions such as content moderation, search, recommendations and platform security. We explain this in sections 7 and 8.
  • We use analytics tools, and may use session replay tools that record how users interact with our website and apps. We explain this in sections 2 and 10.
  • Candidates should not upload tax file numbers, national insurance or social security numbers, bank account details, police checks, right to work documents, health records or unrelated sensitive information through general resume or compliance upload fields.

1. About this policy

ReelWork Pty Ltd (ACN 653 192 477) operates a hiring and work platform that connects candidates, employers and venues through candidate profiles, video introductions, job opportunities, shift opportunities, career portals, rostering tools, messaging, onboarding tools and related services. In this policy, ReelWork, we, us and our mean ReelWork Pty Ltd.

This Privacy Policy explains how ReelWork collects, holds, uses, discloses and protects personal information. It applies to ReelWork's websites, web application, mobile applications and related services in Australia, the United Kingdom, the United States and elsewhere.

ReelWork is committed to handling personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles where they apply. For users in the United Kingdom, we handle personal data in accordance with the UK General Data Protection Regulation and the Data Protection Act 2018, and ReelWork Pty Ltd is the controller of that personal data. For users in the United States, we honour applicable state privacy law rights as described in section 13. We also apply these standards as a matter of good practice where a particular activity may fall outside a specific law.

This policy should be read with ReelWork's Terms of Service and any collection notice presented when information is collected. A collection notice may provide more specific information about a feature or type of information.

Using ReelWork means that you acknowledge this policy. Where the law requires consent, or where ReelWork chooses to rely on consent, we will ask for that consent separately. We do not treat continued use of ReelWork as consent to a materially different collection, use or disclosure that requires fresh consent.

You may browse some public pages without creating an account. Core candidate and employer features require an account and cannot usually be provided anonymously because ReelWork needs to identify users, connect candidates and employers, prevent fraud and operate hiring and work features.

2. The personal information we collect

Photos and videos may incidentally reveal personal characteristics. ReelWork collects this content to provide the candidate profile and video features selected by the candidate. ReelWork does not use candidate photos or videos to infer sensitive attributes such as race, religion, health, disability, political opinion or sexual orientation.

2.5 Resumes, licences, qualifications and compliance documents. Candidates may choose to upload documents relevant to employment, onboarding or workplace requirements. These may include:

  • Resumes and work history documents
  • Responsible service of alcohol certificates
  • Working with children check details or evidence
  • Worker screening clearance details or evidence
  • Professional registrations
  • Trade licences
  • Permits
  • Qualifications and training certificates
  • First aid and CPR certificates
  • Other employment related documents selected by the candidate

Candidates should only upload documents that are relevant to employment or work. Candidates should redact information that is not needed, including unrelated identification numbers and personal information about other people.

General resume and compliance upload fields must not be used for tax file numbers, national insurance or social security numbers, bank account details, police checks, right to work documents, medical records or other unrelated sensitive information. ReelWork does not currently provide a dedicated feature for collecting these categories. If ReelWork introduces one in the future, it will provide a separate collection notice, an appropriate consent process and additional safeguards before collecting the information.

Unless ReelWork expressly states otherwise, an uploaded document is treated as candidate supplied and is not independently verified by ReelWork. Employers remain responsible for checking that documents are genuine, current and suitable for the relevant role.

2.6 Identity verification information. Where ReelWork offers identity verification, the verification may be performed by an approved third party provider. That provider may collect identity documents, facial images, selfies, biometric information or other verification information under its own privacy notice and ReelWork's specific collection notice. Because biometric information is sensitive information, ReelWork will obtain the candidate's express consent through a separate verification consent step before any biometric verification is carried out.

Where practicable, ReelWork will receive and store only the verification result, date, provider reference and limited information needed to operate the feature rather than a complete copy of the identity document or biometric template.

2.7 Payments and billing. Payment processing may be provided by Stripe or another payment provider. The provider may collect card, bank account, identity and transaction information under its own privacy policy. ReelWork does not store full payment card numbers. ReelWork may receive and store billing contact information, payment status, payout status, transaction references, fees, invoices and limited payment account information needed to operate subscriptions or shift payments.

3. How we collect personal information

We collect personal information:

  • Directly from you when you register, create a profile, upload content, apply for work, accept shifts, complete onboarding, communicate with users, contact support or make a payment.
  • Automatically when you use ReelWork, including through cookies, logs, analytics, session replay, security tools and similar technologies.
  • From employers, venues and team members when they create or manage accounts, job posts, shift posts, rosters, applications, onboarding requests, notes or reports.
  • From service providers involved in identity verification, payments, messaging, hosting, security, analytics, artificial intelligence and fraud prevention.
  • From another user where that user invites you, refers you, reports an issue or provides information reasonably needed to operate a transaction or resolve a dispute.

If you provide personal information about another person, you must have authority to provide it and must not provide more information than is reasonably necessary.

4. Why we collect, use and disclose personal information

We collect, use and disclose personal information where it is reasonably necessary to operate, improve and protect ReelWork, including to:

  • Create, verify, secure and manage accounts.
  • Display candidate profiles and videos to authorised employer users.
  • Allow candidates and employers to connect, communicate and manage contact requests.
  • Enable job applications, shift applications, shortlisting, hiring and onboarding.
  • Operate shift scheduling, rostering, attendance, completion, payment and dispute features.
  • Allow candidates to upload employment and compliance documents and control authorised employer access.
  • Allow employers to review candidate supplied documents for genuine hiring, onboarding, workplace compliance and safety purposes.
  • Deliver candidate information to authorised employers, including by export or into an employer's own systems where the candidate has applied, accepted or otherwise authorised the connection.
  • Process subscriptions, fees, refunds, invoices and payouts.
  • Provide customer support and respond to complaints or disputes.
  • Moderate videos and other content and investigate reports.
  • Prevent fraud, misuse, unauthorised access and unsafe activity.
  • Measure performance, understand platform use and improve features.
  • Send operational messages, application updates, shift alerts, onboarding messages and security notifications.
  • Send marketing communications where permitted and allow users to opt out.
  • Comply with legal obligations and protect ReelWork, users and other people.

We will not use an uploaded resume or compliance document, or a candidate's identifiable profile or video, for advertising, public promotion or an unrelated purpose without the candidate's specific consent or another lawful basis.

UK lawful bases. For users in the United Kingdom, we rely on the following lawful bases under the UK GDPR:

  • Performance of a contract: operating your account, profiles, applications, shifts, rostering, onboarding, messaging and payments.
  • Legitimate interests: securing the platform, preventing fraud and misuse, improving features, measuring performance, and sending marketing to business contacts, balanced against your rights and interests.
  • Consent: document uploads, biometric identity verification, non essential cookies where required, and marketing where consent is required. You may withdraw consent at any time.
  • Legal obligation: record keeping, responding to lawful requests and meeting regulatory requirements.

5. Candidate profiles, videos and contact details

Registered employers may be able to browse candidate profile information and video introductions through ReelWork's candidate feeds and search features. The information shown depends on the candidate's profile, account status and available platform settings.

Candidate contact details may be made available to an employer where the candidate applies for that employer's job or shift, accepts onboarding or shift work, grants access, or where another ReelWork feature clearly explains and authorises the access.

Candidates may be able to create or share a profile link. Anyone who receives a working share link may be able to view the information made available through that link. Candidates should only share links with intended recipients and should disable or replace a link where that option is available and the link is no longer required.

Candidates should not include information in a public or employer visible profile that they do not want relevant employers or authorised recipients to see.

6. Resumes and compliance documents

6.1 Separate consent at upload. Before a candidate uploads a resume or compliance document, ReelWork will present a collection notice, a link to this Privacy Policy and an unticked consent checkbox. ReelWork will record the candidate, document, date, time, policy version and consent wording version associated with the upload.

6.2 Who can access documents. Resumes and compliance documents are not automatically visible to all employers. ReelWork may provide document access to an employer or venue where:

  • The candidate applies for that employer's job or shift.
  • The candidate accepts a shift offered by that employer.
  • The candidate accepts an onboarding request from that employer.
  • The candidate otherwise gives a clear authorisation through ReelWork.
  • The access is reasonably necessary for the purpose explained to the candidate and is permitted by law.

Document access must not be granted merely because an employer can browse the general candidate feed.

6.3 What employers may do with documents. Employers may only use documents for genuine hiring, onboarding, document review, rostering, workplace compliance and safety purposes connected with the candidate. Employers must not use or disclose documents for unrelated purposes, sell them, publish them or retain them longer than reasonably necessary or legally required.

An employer that downloads or separately stores a document, or receives candidate information into its own systems, may become independently responsible for that copy under its own privacy and record keeping obligations. ReelWork cannot delete a copy that an employer has lawfully downloaded or received outside ReelWork, but ReelWork may investigate misuse and restrict or terminate an employer's access.

6.4 Status and verification. ReelWork may show a status such as uploaded, missing, expired or provider verified. A document must not be described as verified, approved or compliant unless ReelWork or an approved verification provider has actually completed the stated verification. Employers remain responsible for assessing whether a document satisfies the legal or operational requirements of a role.

6.5 Access records. ReelWork may log when a document is uploaded, viewed, accessed, downloaded, delivered to an employer system, replaced, expired, withdrawn or deleted, including the user and venue involved. These records may be used for security, support, dispute resolution and compliance purposes.

7. Automated tools, AI processing, recommendations and moderation

ReelWork may use automated tools, including third party artificial intelligence and machine learning services, to support content moderation, spam and fraud detection, security monitoring, search, sorting, profile recommendations, matching, transcription, summarisation and platform performance.

These tools may process account information, profile information, role preferences, availability, location, application activity, platform interactions, content signals, video, image and text content, and security information where reasonably necessary for the relevant feature. ReelWork does not provide resumes or compliance documents to an artificial intelligence provider for analysis unless the candidate is given a specific notice before that processing occurs. Some processing may be performed by service providers located outside your country, as described in sections 8 and 9.

Automated tools may flag content or activity for human review or influence the order in which profiles, jobs or shifts are displayed.

ReelWork does not use automated tools to make final employment decisions for employers. Employers remain responsible for deciding whom to contact, interview, engage or employ.

At the effective date of this policy, ReelWork does not use a solely automated system to make a final decision that significantly affects a person's rights or interests, such as suspending an account, denying payment or removing a candidate, without appropriate human involvement. If ReelWork introduces a computer program that makes, or substantially assists in making, a decision of that kind, ReelWork will update this policy and provide any further notice required by law. UK users have the right not to be subject to a decision based solely on automated processing that produces legal or similarly significant effects, except in the limited circumstances the law allows.

8. Who we disclose personal information to

8.1 Candidates, employers and venues. We disclose information between candidates, employers and venues as reasonably necessary to provide profiles, applications, shifts, rostering, onboarding, messaging, document access, payments, reviews, support and dispute handling. Where a candidate applies for an employer's job or shift, accepts an onboarding request, or otherwise authorises access, candidate information may be provided to that employer through the platform, by export, or by delivery into the employer's own recruitment or workforce systems.

8.2 Service providers. We may disclose personal information to service providers that help us operate ReelWork, including providers of:

  • Cloud hosting and databases
  • Video hosting and delivery
  • Website and application hosting
  • Payment processing and payouts
  • Identity verification
  • Email and SMS delivery
  • Marketing and customer communications
  • Customer support and communications
  • Analytics, session replay and product measurement
  • Advertising and conversion measurement
  • Artificial intelligence and machine learning processing
  • Security, fraud prevention and content moderation
  • Professional, legal, accounting and insurance services

Core providers may include Supabase, Cloudflare, Vercel, Stripe, Twilio, Postmark, PostHog, Klaviyo, OpenAI, Google and Meta. The providers and functions used by ReelWork may change as the platform develops. Providers are given access only to information reasonably needed to perform their services, subject to their terms and any contractual, security and access controls that apply.

8.3 Legal, safety and business disclosures. We may disclose personal information where reasonably necessary to comply with law, respond to a lawful request, investigate fraud or misuse, protect a person's safety, enforce our agreements, resolve a dispute, obtain professional advice or protect ReelWork's legal rights.

If ReelWork is involved in a financing, investment, sale, merger, acquisition, restructure or transfer of assets, personal information may be disclosed to advisers and relevant parties under appropriate confidentiality and due diligence arrangements.

ReelWork does not sell personal information for money.

9. International storage, transfers and disclosure

ReelWork is based in Australia and uses technology and service providers that may store, process or access personal information outside your country. Locations are likely to include Australia, the United States and other countries in which ReelWork's service providers and their subcontractors operate. The countries involved may change as providers, hosting locations and subcontractors change. Where it is practicable to do so, ReelWork will provide further information about relevant locations on request.

Australia. Where the Australian Privacy Principles apply, ReelWork will take reasonable steps in the circumstances to ensure overseas recipients handle personal information consistently with applicable Australian privacy requirements, unless an exception applies. Those steps may include provider assessment, contractual protections, access controls, encryption, data minimisation and security review.

United Kingdom. Where we transfer personal data of UK users outside the United Kingdom, we will use an appropriate safeguard, such as UK adequacy regulations, the UK International Data Transfer Agreement or the UK Addendum to standard contractual clauses, together with additional protections where needed. You can contact us for more information about the safeguards used.

10. Marketing, analytics and advertising technologies

10.1 Direct marketing. ReelWork may send information about ReelWork features, offers, events or services where permitted. Marketing messages will provide an unsubscribe option where required. We will act on opt out requests within a reasonable period and without charge. Where the law requires consent for marketing, we will obtain it before sending.

Operational messages about an account, application, shift, roster, payment, onboarding process, security issue or important service change are not marketing and may still be sent while the relevant account or transaction remains active.

10.2 Cookies, analytics, session replay and advertising. ReelWork uses cookies and similar technologies to keep users signed in, secure accounts, remember preferences, understand platform use, measure performance and improve features. We may use product analytics and session replay tools, such as PostHog, which record how users move through and interact with the platform. We take steps to mask sensitive fields from session recordings.

Where enabled, ReelWork may use analytics and advertising services such as Google Analytics, Google Ads or Meta technologies. These services may receive device identifiers, cookie identifiers, IP address, browser information, pages viewed, actions taken and conversion events. ReelWork does not provide candidate resumes or compliance documents to advertising providers for advertising purposes.

Users can manage some cookies through browser or device settings and any consent or preference tools provided by ReelWork. Blocking essential cookies may prevent parts of ReelWork from working correctly. Where the law requires consent for non essential cookies, we will seek it.

11. Security

ReelWork takes reasonable technical and organisational measures to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. Depending on the information, system and risk involved, these measures may include:

  • Encryption and secure transmission where appropriate
  • Access controls and authentication
  • Restricted access to uploaded documents
  • Logging, monitoring and incident response processes
  • Backup and recovery processes
  • Security testing and vulnerability management
  • Service provider and access reviews

No system is completely secure. Users must protect their login details, use strong passwords and notify ReelWork promptly if they suspect unauthorised access.

12. Retention, deletion and withdrawal of access

ReelWork keeps personal information only for as long as it is reasonably needed for the purpose for which it was collected, a related permitted purpose, security, fraud prevention, dispute resolution, legal claims or a legal record keeping obligation.

In general:

  • Account and profile information is retained while the account is active and for a reasonable period after closure where needed to complete deletion, prevent fraud, resolve disputes or comply with law.
  • Candidate supplied documents are retained while the candidate keeps them in ReelWork and while access remains authorised, subject to legal, security, backup and dispute requirements.
  • Application, shift, roster, onboarding, transaction and payment records may be retained for the period reasonably required to administer the transaction, provide support, keep financial records and manage legal claims.
  • Security, audit and consent records may be retained after related content is removed where reasonably necessary to demonstrate permissions, protect users, investigate misuse or comply with law.
  • Backups may retain information for a limited period until they are overwritten through the normal backup cycle.

Candidates may delete or replace documents and may withdraw future employer access through available settings or by contacting ReelWork. Withdrawal does not make earlier authorised handling unlawful and may not remove copies already lawfully downloaded or received by an employer. ReelWork will remove access within its systems as soon as reasonably practicable, subject to legal or security requirements.

When personal information is no longer required, ReelWork will take reasonable steps to delete it or de identify it, unless retention is required or permitted by law. ReelWork maintains an internal retention schedule with specific periods for each record type; this policy describes the approach in general terms.

13. Your rights, access and correction

Everyone. You may request access to personal information ReelWork holds about you and ask us to correct information that is inaccurate, out of date, incomplete, irrelevant or misleading. Many profile details can be updated directly in the platform. Requests should be sent to hello@reelwork.com.au. We may need to verify your identity before acting on a request. We will respond within a reasonable period and aim to respond within 30 days, or any shorter period required by law. In limited circumstances, we may refuse a request where the law allows, and if we do, we will generally provide written reasons and information about how to complain, unless it would be unreasonable or unlawful to do so.

United Kingdom. If you are in the UK, you also have the right to:

  • Request erasure of your personal data
  • Restrict or object to processing, including processing based on legitimate interests and direct marketing
  • Data portability of information you provided to us
  • Withdraw consent at any time where processing is based on consent
  • Complain to the Information Commissioner's Office (ico.org.uk), although we would appreciate the chance to address your concerns first

United States. Depending on your state, you may have rights to know, access, correct, delete and obtain a portable copy of your personal information, and to opt out of targeted advertising or the sale or sharing of personal information as defined under your state's law. ReelWork does not sell personal information for money. Some state laws define sale or sharing broadly to include certain advertising cookies; where such a law applies to ReelWork, you can opt out of those cookies through available cookie controls or by contacting us. We will honour verifiable requests where required by applicable law, will not discriminate against you for exercising your rights, and will consider requests from users in other states in good faith. You may authorise an agent to make a request on your behalf where your state's law allows.

14. Privacy complaints

If you believe ReelWork has mishandled your personal information, contact the Privacy Officer at hello@reelwork.com.au. Please describe the issue and provide any relevant account, document or transaction details.

We will acknowledge and investigate the complaint, may request further information and will respond within a reasonable period. If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner, the UK Information Commissioner's Office, or your state Attorney General or applicable regulator in the United States.

15. Data breaches

ReelWork maintains processes to identify, contain, assess and respond to suspected data breaches. Where a notification scheme applies, including the Australian Notifiable Data Breaches scheme or UK GDPR breach notification requirements, ReelWork will notify affected individuals and the relevant regulator as required by law.

16. Minimum age and young candidates

ReelWork is intended for people aged 15 and over. A person under 15 must not create an account or upload personal information. If ReelWork reasonably believes that an account belongs to a person under 15, ReelWork may suspend or delete the account and associated information, subject to legal and safety requirements.

Many ReelWork candidates are aged 15, 16 or 17. We recognise that these candidates are young people who are often entering the workforce for the first time, and we take additional care with their personal information. In particular:

  • We write our collection notices, consent requests and key settings in clear, plain language so that a young candidate can understand what they are agreeing to.
  • We apply the same separate, unticked consent before document uploads, and we encourage young candidates to upload only what a specific job, shift or onboarding request reasonably requires.
  • We do not require a young candidate to provide more information than is reasonably necessary to use the platform. Where profile visibility controls are available, young candidates can use them to limit what employers can see.
  • We consider the best interests of young candidates when designing sign up, consent and profile flows, and we treat these flows as an area for ongoing review as children's privacy rules develop, including the Australian Children's Online Privacy Code and the UK Age Appropriate Design Code.
  • We will not use an identifiable young candidate's profile, video or image in advertising or public promotion without specific consent, and where required, appropriate parental or guardian involvement.

Where a candidate is under 18, ReelWork may take into account the candidate's capacity to understand and consent, and may decline to collect certain information or offer certain features until appropriate safeguards are in place.

17. Changes to this policy

We may update this Privacy Policy to reflect product, legal, security or operational changes. The updated policy will show its effective date.

If a change is material, we may notify users through ReelWork, by email or by another reasonable method. If a new collection, use or disclosure requires consent, ReelWork will seek fresh consent rather than relying only on continued use of the platform.

Appendix A. Candidate file upload notice and consent

The following notice applies when a candidate uploads a resume or another employment related document to ReelWork. A separate consent request is presented at the time of upload.

Collection notice. ReelWork Pty Ltd collects the document you choose to upload, together with information about the document, your consent and the employers or venues authorised to access it.

We collect the document to operate your candidate profile and to support hiring, applications, onboarding, document review, rostering, workplace compliance and safety. If you do not provide the document, you can usually continue using ReelWork, but you may be unable to complete a particular application, onboarding request or work requirement.

The document may be disclosed to employers whose job or shift you apply for, whose shift or onboarding request you accept, or whom you otherwise authorise through ReelWork, including by delivery into that employer's own recruitment or workforce systems where those features are available. It may also be processed by ReelWork's hosting, storage, security and support providers, including providers located outside your country, as explained in this Privacy Policy.

Do not upload tax file numbers, national insurance or social security numbers, bank account details, police checks, right to work documents, health records or information that is not reasonably relevant to employment through a general upload field.

You can request access, correction or deletion and can withdraw future employer access, subject to legal and technical limitations. Contact hello@reelwork.com.au or read the ReelWork Privacy Policy for more information.

Consent statement. I consent to ReelWork collecting, storing, using and disclosing this uploaded document to employers whose job or shift I apply for, whose onboarding request I accept, or whom I otherwise authorise, for hiring, onboarding, document review, rostering, workplace compliance and safety purposes, as explained in the ReelWork Privacy Policy.
